For companies who sort their rosters by overtime hours, there are two ways to enter the hours into ARCOS. Some companies send a file to ARCOS on a scheduled basis that contains the specified period’s overtime hours and ARCOS loads that file. Other companies manually enter the hours into ARCOS using the Daily OT Entry page found on the List Maintenance tab.
When you click the Daily OT Entry button, the Daily Overtime Entry page displays with the current date selected. The list is sorted by Employee Name, but can also be sorted by Primary Class or by Grand Total. The Paycodes used for the Daily OT Entry page are defined specifically for each company during implementation. For convenience, the header remains locked while scrolling.
Note: For customers who view multiple paycodes on the Daily Overtime Entry page, a list of paycodes with checkboxes next to them appears at the top of the page. Users can uncheck the checkbox for select paycodes to exclude them from the view on the page. For example, you may want to view only hours worked and not hours refused. You can uncheck the hours refused checkbox to view only the total number of hours worked for all employees.
ARCOS takes the hours entered for the current week, goes to the next roster and applies the hours to that roster. The entered hours will be seen when the next roster goes into effect. The default time span for each day is midnight to midnight, unless your company specifies a different range.
Note: When sorting by the "Grand Total" column, employees are sorted by overtime hours low to high across all classes.
To Enter OT Hours for an Employee

Go to the location tab and change your location to the location the employee you wish to update resides in.
Note: You can also use the location links at the top of your screen to change your location.

Click on the List Mnt tab and then click the Daily OT Entry button. The Daily Overtime Entry page will display.

Make sure the date you want to modify is in your current view. If the date you want to modify does not fall within the current week then click the Calendar icon and select the date or use the arrows to navigate to the correct date.
Note: The days that will appear for the current week are 7 days prior to the current day. If you select a date using the Calendar picker you will view the 7 days prior to that day. To return your view back to the current week click the reset button.

Scroll down to the employee you want to add or modify overtime hours for and click in the box for the correct date and paycode type.
Note: Each textbox has a mouse-over that contains the paycode and the date.

Enter hours into the textbox, then click somewhere outside of the textbox. The cell that you just modified is now yellow; this is to let you know that you have made changes that have not been saved.
Note: The total hours per paycode and Grand Total hour’s fields will automatically calculate as you add hours.

After you have finished adding hours, you will need to determine which button is the appropriate button to press Save Data or Save Data and Sort List. Below are descriptions to help you determine which one will be appropriate.

Save Data

When you click the Save Data button hours will be applied immediately to all list that use OT Hours, but the list that is currently being used for callouts and list that have already been built (i.e. next week’s list) will not be sorted.

Any lists that are built after the save will be sorted when they are built.

Note: In order for future list to be sorted when they are built the list will have be sorted at least one other time prior to the build.

Save Data and Sort List

If hours are added for an employee on a day that is after the effective date of the current list and Save Data and Sort List is pressed, then only list that are currently built (not the current list) will be sorted.

If hours are added for an employee on a day that falls prior to the effective date of the current list and Save Data and Sort List is pressed, then the current list and all list that are currently built will be sorted.

Note: To find the current roster’s effective date, go to the List Maintenance page for the roster (make sure the current list is selected in the Roster Date drop-down) hold your mouse over an employee’s hours. A mouse-over will appear like the one below containing the latest date and time that the roster looks at hours.
Note: The Totals as of Sum column is a selectable/editable field per paycode. You can click the total for the paycode you want to update; this will turn the text into an editable textbox field that will accept and save four decimal places (Note: After saving the decimal places will be rounded off to two places.). After the new total hours have been entered click outside of the cell, the most right column will auto-populate to describe the changes that were made to the hours.
Example:
Alex has a total of 44 hours worked and 28 hours refused , but someone has realized his hours worked should be 38 and his hours refused should be 34. This clerical error can be fixed without having to go back through weeks or months worth of hours to find where the error occurred.
To do this you could

Click the hours worked total in the Totals as of Sum column and enter 38.

Click the hours refused total in the Totals as of Sum column and enter 34. The most right editable column will auto-populate with the adjusted hours.
Note: The hours will display with a negative value if the employee is losing hours and a positive value if they are gaining hours.
