ARCOS supports the managing of backfill or requested - exceptions. Meaning, if a VLG is at or over its limit, an attempt to add a vacation record to another employee from the same VLG would be denied but a "request" exception could be created for the employee. Once a request is created, the request can be converted to an actual vacation record if another employee's vacation is canceled. While the "request" position is in affect for the employee, they are considered available for callouts and normal charging logic is applied to any callouts they are called on. (ARCOS sees the employee as available and ignores the "request" exception.)
To create a vacation or personal request using the schedule module
These instructions use the 7-Day View in the Schedule module but can also be executed in either the 2-Day or 1-Day views.

Click the Schedule tab. The Schedule screen displays.

Click either 1 Day View, 2 Day View, 7 Day View or 14 Day View. The selected day view displays.

Apply any of the filters, as appropriate, to locate the employees to which you wish to assign a record.

Click the Add button in the Tools bar. "Click a cell to create a record." displays in the Submit bar.

Click in the cell for the day/employee you wish to add the request. The Schedule Record Add window displays.

Click the dropdown arrow in the Event Type field. A list of event types displays.

Select the event type to add, Vacation Request or Personal Request, from the Event Type dropdown. The Schedule Record Add pop-up updates to include a Vacation Mgt field that the bottom of the screen.

Type the total number of hours that will be used by the employee in the Hours textbox in the Vacation Mgt field.
Note: The hours will not be subtracted from the employee's available hours until the request is converted.

Type text in the Description/Comment field, if applicable.
Note: If this entry creates a situation where an override must be used to accept the request, you must enter an explanation in the Description/Comment field.

Select the beginning and ending dates and times from the Start Date and End Date calendar pickers.
Note: The now link only appears when you are creating a Schedule Record for the current day.

Click the Save & Close button. A pop-up indicating your selection was successful displays and then you are returned to the scheduler.
To create a vacation or personal request using the schedule exceptions page

Click the Schedule tab. The Schedule screen displays.

Click the Schedule Exception button. The Employee Schedule Exception screen for the current location displays.

Click on the employee to which you wish to assign a schedule exception. The Schedule Exceptions page for the selected employee displays.
Note: Select dates from the calendar pickers for start date and end date to view a list of schedule exceptions for an employee over a period of time. Check the Vac Mgt Only? checkbox if you wish to see only schedule exceptions for the employee that are tied to the Vacation Management module.

Click the Add New Schedule Record button to add a new schedule exception. The Schedule Record Add pop-up displays.

Select the event type to add, Vacation Request or Personal Request, from the Event Type dropdown. The Schedule Record Add pop-up updates to include a Vacation Mgt field that the bottom of the screen.
