There are two ways to schedule vacation or personal holiday exceptions that you want to include in the VLG module. Time can be scheduled using any of the Day views in the Schedule module or by entering a Schedule Exception on the Employee Schedule Exception page and selecting one of the exception types that are included in the VLG. Those include Personal Holiday, Single Day Vacation, Week Vacation, Emergency Vacation, or Blocked Time.
To Schedule an Exception Using the Schedule Module
These instructions use the 7-Day View in the Schedule module but can also be executed in either the 2-Day or 1-Day views.

Click the Schedule tab. The Schedule screen displays.

Click either 1 Day View, 7 Day View or 14 Day View. The appropriate Day View displays.

Apply any of the filters, as appropriate, to locate the employees to which you wish to assign a record.

Click Add in the Tools bar. "Click a cell to create a record." displays in the Submit bar.

Click the cell in which you wish to add the schedule record. The Schedule Record Add window displays.

Click the dropdown arrow in the Event Type field. A list of Event Types displays.

Select the Event Type to add. The types included in the VLG module are: Personal Holiday, Single Day Vacation, Week Vacation, Emergency Vacation, and Blocked Time. When selecting one of these Event Types, the Schedule Record Add dialog box updates to include a Vacation Mgt field that the bottom of the screen.

Enter the Hours in the Vacation Mgt field.

Enter text in the Description/Comment field, if applicable.
Note: If this entry creates a situation where an override must be used to accept the request, you must enter an explanation in the Description/Comment field.

Select the Start and End dates and times with the Calendar Picker, -OR-
Click the now link in the Start box and select a duration from the Duration box, -OR-
Use the double and single plus and minus links in the Start and End box to set the times.
Note: The now link only appears when you are creating a Schedule Record for the current day.

Click Save and the message, "Data saved successfully." displays at the top of the window, -OR-
Click Save & Close and a pop-up indicating your selection was successful displays and then you are returned to the Schedule Record page.

Click Close. The Schedule Record Add window closes and the Schedule Record displays in the schedule.
To Schedule an Exception Using the Schedule Exception Page

Click the Schedule tab. The Schedule screen displays.

Click the Schedule Exception button. The Employee Schedule Exception screen for the current location displays.

Select the employee to which you wish to assign a schedule exception. The Schedule Exceptions page for the selected employee displays.
Note: Select dates from the calendar pickers for Start Date and End Date to view a list of Schedule Exceptions for an employee over a period of time. Check the Vac Mgt Only? checkbox if you wish to see only Schedule Exceptions for the employee that are tied to the Vacation Management module

Click the Add New Schedule Record button to add a new schedule exception. The Schedule Record Add pop-up displays.

Select the appropriate Schedule Exception from the Event Type dropdown menu. The types included in the VLG module are: Personal Holiday, Single Day Vacation, Week Vacation, Emergency Vacation, and Blocked Time. When selecting one of these Event Types, the Schedule Record Add dialog box updates to include a Vacation Mgt field that the bottom of the screen.

Select the beginning and ending dates and times from the Start Date - End Date calendar pickers.

Enter the total vacation hours being used in the Hours: field under Vacation Mgt.

Click Save & Close. If the hours entered exceed the total number of hours that are allowed for the day, you will receive a message and you must return to the Schedule Record Add pop-up, enter a reason in the Description/Comment field and select Override? to complete the entry.
