ARCOS supports the managing of backfill or requested - exceptions. Meaning, if a VLG is at or over its limit, an attempt to add a vacation record to another employee from the same VLG would be denied but a "request" exception could be created for the employee. Once a request is created, the request can be converted to an actual vacation record if another employee's vacation is canceled. While the "request" position is in affect for the employee, they are considered available for callouts and normal charging logic is applied to any callouts they are called on. (ARCOS sees the employee as available and ignores the "request" exception.)
To convert a vacation or personal request to a vacation or personal exception

Click the Vacation Mgt button on the Schedule tab.

Click the VLG List button.

Click the name of the VLG the employee is on.

Modify the viewed date range so that the day the exception is for is in your current view.

Click the Convert Requests button. ARCOS highlights all requests in yellow.

Click on the request that needs converted.

Select the desired record from the dropdown in the Convert Request window.

Click the OK button. The exception saves with the selected name and the page refreshes to display the updated information.
Note: When converting a request exception, ARCOS will check to verify the employee has enough available hours. If the employee does not have enough hours, the user will not be able to convert the request.
