The Schedule module is very powerful and includes a lot of features that can make your life much easier! Here is a list of tips and hints to help you when using the Schedule module.

Use “+” and “-” in the Schedule Record Modify window to change the start or end time in 15-minute increments. Use “++” and “- -” to change the start or end time in 1-hour increments.

Use the Shift Slide button on Day views to change the start and/or end time of normal shifts in 1-hour increments.

Use the selector buttons to view employees from multiple locations, on specific Rosters, or are part of selected Primary Classes.

Use the checkboxes to the left of the employee names in combination with filters to view specific employees only.

Click Reset to return Scheduler to the current day or week.

Click the employee name to go directly to the Employee Modify page (with proper security).

Use the Day views to add Schedule Exceptions, copy schedule records to other employees, modify start and end times or dates, or delete a schedule record. The Day Views (14 Day, 7 Day, and 1 Day) show the shift (or Refer As) name and the actual hours the employee is scheduled to work each day.

In a Day view, when you click to select a schedule record and change the start or end time in the schedule record modify window, start time modifications keep the duration of the record intact but end time modifications do not. For example, if you modify the start time of an 8-hour shift that runs 8:00 am to 4:00 pm to start at 7:00 am, ARCOS alters the end time to be 3:00 pm. However, if you modify the end time of that same shift to 6:00 pm, ARCOS does NOT alter the start time to keep the shift an 8-hour shift.

In the Day views, use the Events filter to include/exclude selected event types.

While in a 7-Day or 14-Day view, click a date in the column header to navigate to the 1-Day view for the date selected.

When scheduling vacation time for an employee, be sure to make the vacation exception in ARCOS reflect the time that the employee will not be available for callout. Remember, ARCOS is not connected to payroll, so schedules need to reflect the time when NOT to call an employee (their total unavailable time).

While in an 8-Week or 16-Week view, click a date in the column header to navigate to the 7-Day view that begins with that selected date.

Use the Week views to assign shifts to employees. The Week views (16 Weeks and 8 Weeks) show only the shift (or Refer As) name.

When copying a shift in Week view, the copy FROM must be the left-most date column, or you get a message that says, “You must select cells from left to right, starting with the left-most date column.”

One thing all of the Week and Day views have in common is that all of the columns in all of the views are sortable. Just right-click a column title and choose ascending or descending to sort the column.

To delete a shift assigned to an employee, go to a Week view, click Assign Shift and select None from the dropdown list. Then select the shift or shifts you wish to delete and click Save.
