The Location Administrator can utilize the Publish Awards link (either on the Bid Rounds or Bid Package screen) to officially update the employee calendar. When selecting employees and clicking the "Publish" button, if shifts were associated with an award, the shift will be converted to an Approved Time Off shift. If the day was not scheduled, a Time off Award label will be displayed (the name of the label and whether it displays are both configurable).
Published Awards will be reflected in the Employee's Edit Paid Time Off Bank either in Future Approved PTO Activity or Past PTO Activity based on the date published and the date reviewed in the calendar.
While publishing awards, errors and warning can appear due to schedule conflicts on the employee calendar:
- Errors - this indicates that the award cannot be published. Example shift conflicts include:
-
Shift reflects a pending trade
-
Claimed shifts pending approval
-
Pending VTO
-
Pending shift offers
-
- Warnings - this usually indicates that the employee has one or more shifts during the award week that was not their original shift. The award can be published, but any shifts that the employee was not the original owner of will not be converted to a time off shift.
The Publish Awards screen also allows the Location Administrator to view other rounds or search for an employee by using the Filter section on the left side of the screen. The user would enter search text or select a round and click the Apply button in order for the results to reflect.
