Liability Levels define how many employees and leads from the Vacation Bid Group can be off for the specified Liability Group. Clicking the link allows the user to create a unique liability for the selected Bid Package and is required for the vacation bidding process to proceed.
The left side of the page displays the Bid Package Effective Dates and the Slot Liability Totals which include the Liability Group Names set within the associated Vacation Bid Group as defined by the Location Administrator.
Clicking the blue Info icon displays the specific details of the listed Liability Group.
The Total section collects the total liability of the groups, is dynamic and updates in real time as amounts are added into the liability section throughout the entire span of the Bid Package Effective Dates.
The Default Available Slots section, required to utilize Liability, determines how the slot liability is created in the system. Selecting from this list allows the user to select the Associated Shift and/or Lead Job Title liability from the selected calendar view display for each day of the entire Bid Package Effective Dates.
No Default allows the user to create their own unique input for every single day of the Bid Package. However, keep in mind that if the package ranges for 365 days, one will need to make 365 updates to all the days in the package for employees as well as leads where applicable within every liability group. This may result in hundreds of individual updates for long term effective date packages.
Selecting By Date Range allows the user to define slots based on a defined period within the Bid Package range. When another Date Range is added, the start date will default to the day after the end date of the previous range and the end date defaults to the Bid Package end date.
When the Apply slot count to all days option is enabled, the first day of the week (slot 1) will be editable and the entered value will be replicated in the remaining days (slots 2-7).
Based on the Vacation Bid Group setup, the user may see a comment beneath lead role sections that states "Lead Roles are included in count based on Vacation Bid Groups". When this is displayed, employee totals cannot be less than the total number of lead slots for that applicable liability group. For example:
-
Leads included in totals: Employee has 2 slots, Lead has 1. The grand total for that liability group is 2.
-
Lead not included in totals: Employee has 2 slots, Lead has 1. The grand total for that liability group is 3.
Clicking the Create Slots button prompts a warning, alerting the user that the screen will be locked for future changes. Click Cancel to return to the screen.
CAUTION: Once the type of Default available slots option is saved it cannot be changed or deleted. Edits would be made on a day by day, slot by slot, liability group by liability group basis after the fact, which could be quite tedious and time consuming.
Click OK to save and the page updated to reflect the input.
Selecting any day within the calendar opens the Edit Liability modal, allowing the user to make any necessary adjustments to the levels.
Check the "Apply slot count to all days" option, available within the Edit Dialog pop-up, to apply changes to all displayed slots.
