A Vacation Bid Group consists of the Work Groups included in the vacation bid process and is the basis for defining slot liability based on liability groups. Vacation Bid Groups can be a single Work Group or a compilation of multiple Work Groups within the system. This page is accessed by clicking the Vacation Bid Groups link in the Enhanced Vacation Bids tab.
IMPORTANT: Be aware that a Vacation Bid Group is locked down once an associated Bid Package's Liability Levels are established, and other than effective dates and Work Groups to include, cannot be changed or deleted. Therefore, care must be taken in the initial set up to be sure the Vacation Bid Group is defined correctly.
Here, the user can add a new Vacation Bid Group by clicking the + Add button or edit an existing Group by clicking either the group Name or the edit link in the Actions column.
When adding a new Vacation Bid Group, in addition to the Name, Description, and Effective Dates, select the required Seniority Rank Rule from the dropdown menu to be applied to the Group, which will determine the employee order of the bidding process.
Select the existing Work Groups to be included in the Vacation Bid Group by selecting and clicking the arrow to move into the Included column or simply drag and drop. Reverse to Excluded. Work Groups cannot be added to more than one Vacation Bid Group during the same or an overlapping effective date range.
Create one or more Liability Groups that will be used during the bidding and award process.
TIP: The Group Name will appear in the Liability Levels screen and the Employee Bid Preference screen legends for user reference.
Select whether to include:
-
Associated Shifts to designate group slots to help manage coverage.
-
Whether Lead Job Titles should be considered for Liability Levels. If selected, decide if the Lead Job Titles should be included in liability group slots totals or counted separately from non-lead titles..
-
Additional Liability Groups can be added by clicking the + button.
-
Each Liability Groups in the Vacation Bid Group must be unique. For example, users cannot add the same Associated Shift (i.e. Shift 1) to more than one Liability Group.
-
Remove a Group by clicking the Delete icon.
