Data Import allows ARCOS admins to import data sheets containing information about contract crews and resources within Crew Manager.
The imported information can include crews and members as well as resources such as vehicles and equipment. The required file must be in .csv format. ARCOS will attempt to match the columns to existing attributes during the import process. CrewName is used to specify the crew’s name and MemberName is used to specify the contract employee’s name. Attribute columns need to match an existing attribute to default correctly.
Field Mapping
Once uploaded the information appears in the Field Mapping section and Crew Manager will automatically map the columns to existing attributes.
These columns include:

Import Header - Header from the file.

Attribute Target - The type of resource to map to: crew, member, vehicle, etc.

ARCOS Attribute - The attribute the datapoint maps to.

Reuse Key - Specifies the Reuse Key, only one can be selected and it must be a Crew value.

Clear - Clears any selections made in the row and returns to default.
Note: Columns not mapped to an attribute will not be loaded.
The information is displayed in the Data Preview section.
Data Analysis
The Data Analysis section allows the user to adjust how the file will be uploaded and view the progress of the load.
Options displayed in this section include:

Default Reuse Key - Allows authorized users to select a single Crew level attribute to set and map to a column which is then applied as the Reuse Key. Define the Default Reuse Key by clicking the Edit icon and select the attribute from the menu.
Clear the Default Reuse Key by clicking the Delete icon. When no default is set, a column can be selected as usual.
Note: This option appears to users with proper security access and permissions.

Reuse Crews - If checked with a crew reuse key selected, crews will be reused. If a crew exists with the same name and attribute, we will use it instead of creating a new crew.
Note: If the same Reuse Key is not used with every file load, duplicates will occur.
This option is enabled by default, if unchecked, ARCOS will not check for matching crews and will load the file as is.

Reuse Members - If checked with a member reuse key selected, members will be reused. if a member exists with the same name and attribute, we will use it instead of creating a new member.
Note: If the same Reuse Key is not used with every file load, duplicates will occur.
This option is enabled by default, if unchecked, ARCOS will not check for matching members and will load the file as is.

Purge Existing Crew Assignments - Enable this option if reusing a crew to remove any member currently on the crew.

Retain Existing Attribute Values - When enabled the system will not clear crew and member attributes for reused members. Attribute values that are in the file will still replace assigned attribute values.
Note: Reuse Crews and/or Reuse Members options must be enabled to retain the attributes values and complete the import.

When checked, the following rules are applied during the import process pertaining to updating existing (Exists?=Y) crew/member data:

Attribute values for attributes present in Crew Manager that are not contained in the imported file retain their existing values upon import.

Attribute values for attributes present in Crew Manager that are also contained in the imported file are updated according to current logic upon import.

If an attribute in the imported file contains null attribute values, the existing values are retained upon import.

Mobile Workbench Access - When enabled, all members contained in the data import will have the ability to access Mobile Workbench. For more on this option, go here.
Crews and Members will be created, duplicated or reused based on the combination of the Field Mapping Reuse Key, the Data Analysis Reuse Crews and Reuse Members selections.
These selections drive the information displayed in the Data Analysis Crews and Members tables.
The Exists? column from the crew and member table will be updated with appropriate values based on if any existing members or crews were found that match:
‘-’ - indicates there were no matches (a new object will be created).
‘Y’ - indicates a single match was found (this object can be reused if selected).
‘*’ - indicates multiple matches were found (this object cannot be reused, a new one will be made).
Note: This logic only works if the crews are present at the PIT otherwise ARCOS will duplicate crews if an earlier PIT than the initial load is used see Crew-49 for more information.
