The Weekly Work Report is a custom report that quickly shows the number of members that are assigned to various statuses and the number of man-hours that are associated with those members. The Weekly Work Report is also used to view the different number of work order statuses and how many hours are associated with those as well.
As the name suggests, the Weekly Work Report is a snapshot of the current perspective for the week of the current PIT. “What does that mean?” you may ask. It means that, when the report is generated, the report automatically pulls data from Sunday at midnight through Saturday at 23:59:59, based on the PIT. For example, the PIT is set to Thursday at 10:00. When the Weekly Work Report is generated, the data within the report will be from the Sunday before at midnight, until the Saturday after at 23:59:59.
The Report is broken up into three distinct sections. The top section is the header information section and contains the dates and filters of the current perspective. The middle section is the resources available section and displays the number of members on the various statuses and the associated man-hours of those statuses. The bottom section is the WorkOrder resource section and displays the different types of WorkOrder resources and the hours associated with those.
The below screenshot is an example of the Weekly Work Report. On the next few pages, we will further describe the various sections explain the columns and what data the report pulls from Crew Manager. One point worthy of specific mention is the hours displayed on the report. All of the hours displayed are rounded to the nearest hour.
Example of Weekly Work Report:
The Header Information Section:
-
Generated: This is the system date and time of when the report was generated.
-
Week Ending Date: This is the Saturday at 23:59:59 that the report ends on.
-
Crews & WorkOrders: These are the filters and values that you have for your current perspective. These will change, based on the user’s perspective.
-
Overall Success: This is a section that contains a drop down. The values in the drop down are Green, Yellow and Red. When a value is selected from the drop down, the entire Overall Success row turns the color of the selected value.
The Resources Available Section:
This section consists of three columns, Resources Available, Number of Members and Man-Hours.
The Resources Available column displays the various statuses the members of the current perspective are on for the week. Below the Total (Normal Work Hours) row, the report will display the top six exceptions (by hours) that the members of the current perspective are on for the week of the PIT.
The Number of Members column displays the distinct number of members that are on the various statuses.
The Man-Hours column displays the number of hours the members are assigned to those statuses.
-
Total (Normal Work hours): This is a static field and will always be displayed. The Number of Members column displays the total number of employees that are on a Normal Shift, while the Man-hours column displays the total number of shift hours those employees are scheduled to work.
In the above example, there are sixteen members that are currently assigned normal shift records for the week of the PIT. Those sixteen shift records add up to six hundred forty hours of shift work (sixteen members, each working forty hours a week).
-
Rest – Storm Shift: In the above example, this is the top exception, by hours, for the members of my perspective. There is one member on the exception for a total of sixteen hours, for the week of PIT.
Note: This is only an example and this section will be different for your perspective.
-
Rest – 8 Hour Rule: In the above example, there is one member on the exception for a total of eight hours, for the week of PIT.
-
Note: This is only an example and this section will be different for your perspective.
-
Weather: This is a static field and will always be displayed. This section pulls the number of members assigned to a WorkOrder that meets the following criteria:
-
PlannedFlag attribute set to “W”
-
DateStamp attribute set to any day within the week of PIT and in the following format – DDMMYYYYHHMM (HHMM is in 24hour format)
In the example above, there are no WorkOrders in the proper format assigned to any crews for the week of PIT.
-
Holiday: This is a static field and will always be displayed. This field will pull any members in the perspective for the week of PIT that has a shift record for a day that is marked as a holiday in ARCOS, which are NOT scheduled to work the holiday.
In the above example, a holiday is not assigned for any of the days of the week of current PIT.
-
Other: This is a static field and will always be displayed. This section will display any members that are on an exception for the week of PIT, that are outside of the top six listed exceptions already displayed. The Man-Hours column will be a total of the hours of all the members on the exceptions.
In the above example, there are only two exceptions listed for the week of PIT.
-
Hours Available for Work: This is a static field and will always be displayed. This is the total number of shift hours minus any exception, holiday or weather hours.
In the above example, there are six hundred sixteen total hours available for work. (Six hundred forty shift hours minus sixteen storm shift rest rule hours minus eight 8 hour rest rule hours equals six hundred sixteen total work hours.)
-
Other Overtime Section: This is a static section and will always be displayed, however, the rows inside the section may be different for each user. This section displays the top two other working exceptions, such as callouts and extended day records, by hours.
-
Working – Storm Shift: This is the total number of members for the current perspective for the week of PIT that are on a Working – Storm Shift record. The Man-Hours are the total number of hours those members are assigned.
In the above example, there is one member assigned to storm shift and the duration of that assignment is thirty-two hours.
Note: This is only an example and this section will be different for your perspective.
-
Callout: This is the total number of members that are working a callout and the Man-Hours column will display the duration of those callout record. All callout types that members are working will be included in the callout row.
In the example above, there is one member working a callout for the week of PIT and the callout has a duration of eight hours. Auto-extending records, such as callouts, will display either the initial duration of the callout, before it auto-extends, or it will display the closed duration of the callout.
Note: This is only an example and this section will be different for your perspective.
-
Other: This is a static section and will always be displayed, however, the data inside the row may be different for your perspective. This row pulls any other working records that are not in the top two by hours, such as Working – Extended Day.
In the example above, there is one employee working an extended day and the duration of that record is four hours.
Note: This is only an example and this section will be different for your perspective.
-
Resource Comments: This is a static section and will always be displayed. This is a text box which will allow the user to enter text noting anything the user deems necessary about any of the above information.
The WorkOrder Resource Section:
This section consists of two main tables, Work Planned vs. Completed and Estimated Budget Impact. For the purposes of this document, the section that we are concerned with is the Work Planned vs Completed table. This table pulls data directly related to the WorkOrder resources for the week of the PIT. However, there are restrictions to how that data is pulled. We will explain those restrictions below.
The table has two columns, No. Work Orders and Hours. The No. Work Orders will display the number of work order resource types that are assigned to crews for the current week of PIT. The Hours column will display the total hours of all WOTEs (Work Order Time Entries) for all of the work order resource types found for the current week of PIT, with restrictions.
-
Planned: This section pulls all of the planned work order resource types, for the current week of PIT, that have the following restrictions in place:
-
PlannedFlag attribute set to “P”
-
DateStamp attribute of Monday, Tuesday or Wednesday of the current week of PIT in the following format – DDMMYYYYHHMM (HHMM is in 24hour format)
-
WorkWeek attribute set to “T0” (capital T and a zero)
In the above example, there are two planned work order resource types assigned to two crews. The duration of the WOTE’s associated with those work orders is thirty-two hours.
-
Completed: This section pulls all of the planned work order resource types, for the current week of PIT, that have the following restrictions in place:
-
PlannedFlag attribute set to “P”
-
DateStamp attribute of a Monday, Tuesday, or Wednesday of the current week of PIT in the following format – DDMMYYYYHHMM (HHMM is in 24hour format)
-
Status attribute set to “COMPLETE”
In the above example, there is one planned work order resource type that is complete. The total duration of the WOTEs associated with the work order is sixteen hours.
-
% of WP Complete: This section is the percentage of the planned work order resource types that are completed, for the current week of PIT. The percentage is calculated as the number of completed divided by the number of planned. This is also true for the Hours column.
In the above example, one of two planned work order resource types is completed, for the week of PIT. This is calculated as fifty percent complete. The hours are calculated as sixteen hours divided by thirty-two hours for fifty percent of planned hours are complete.
-
Emergent: This section pulls all of the emergent work order resource types, for the current week of PIT, that have the following restrictions in place:
-
PlannedFlag attribute set to “E”
-
DateStamp attribute of a Monday, Tuesday, or Wednesday of the current week of PIT in the following format – DDMMYYYYHHMM (HHMM is in 24hour format)
-
Status attribute set to “COMPLETE”
In the above example, there is one emergent work order resource assigned to a crew that is complete. The duration of the WOTEs associated with the work order resource is 16 hours.
-
Unplanned: This section pulls all of the unplanned work order resource types, for the current week of PIT, that have the following restrictions in place:
-
PlannedFlag attribute set to “U”
-
DateStamp attribute of a Monday, Tuesday, or Wednesday of the current week of PIT in the following format – DDMMYYYYHHMM (HHMM is in 24hour format)
-
Status attribute set to “COMPLETE”
In the above example, there are no unplanned work orders resources assigned to any crews that have all of the restrictions in place.
-
Total Complete: This section pulls the completed planned and emergent work order resource types. The Hours column is the sum of those two work order resource types.
In the above example, there is one completed planned work order resource type and one completed emergent work order resource type. The No. Work Orders shows a total of two completed and the Hours column shows the sum of those two work order resource types, sixteen plus sixteen equals thirty-two hours.
-
Misses for the Week, Other Notables and Work Accomplishments: These are text boxes which will allow the user to enter text detailing anything related to the row headers.
