As a supervisor you can create voluntary time off (VTO) slots for time periods that are overstaffed. Employees can then claim these slots to take unpaid time off during this time period. This saves your organization from paying unnecessary labor costs.
Create VTO Slots
To create a VTO slot:
- Click the VTO Slots tab.
- Click the Create New Slot link.

RosterApps directs you to the Create New Slot page. Complete the sections on this page with information about the VTO slot. Below is a list of the sections with descriptions.

Workgroup: The work group of the VTO slot.

Date: The date of the VTO slot.

Template (Optional): To use a shift template to create your VTO slot, select the shift template in the drop-down menu.

From: The start time of the VTO slot.
-
To: The end time of the VTO slot.

Acceptable Skills: Select all acceptable skills. Employees with the selected skills can claim the VTO slot. If an employee does not have at least one of the acceptable skills, they cannot claim the VTO slot.

Slot Type: Select one of the following options from the drop-down menu:

Beginning of Shift: Select this option if employees can claim this VTO slot if it occurs during the beginning of their shift.

End of Shift: Select this option if employees can claim this VTO slot if it occurs during the end of their shift.

Either Beginning or End of Shift: Select this option if employees can claim this VTO slot if it occurs at the beginning or the end of their shift.

Allow Partial: Check this box to allow employees to claim part of the VTO slot. This allows employees whose shifts only overlap part of a VTO slot to claim the slot.

Number of shifts to create: Enter the number of VTO slots to create. Each slot can be claimed by one employee.

Slot Status: Select one of the following in the drop-down menu:

On VTO Slot Board: Select this option to post the VTO slot on the VTO slot board, where employees can view and claim it.

Reserved/Hidden: Select this option to reserve/hide the VTO slot for now. You can post the VTO slot to the VTO slot board later.

Click the Create Slot(s) button to create your VTO slot.

Edit VTO Slots
You can only edit VTO slots that are in reserved status.
To edit a VTO slot:
- Click the VTO Slots tab.
- RosterApps displays all VTO slots on the main page. Find the VTO slot you want to edit and click the Edit link in that VTO slot’s row.

RosterApps directs you to the Edit Slot page. Update the sections on this page with information about the VTO slot. Below is a list of the sections with descriptions.

Post VTO Slots
You can post a single VTO slot to the claim board or post multiple VTO slots to the claim board at once.
Post a Single VTO Slot
To post a VTO slot that is currently reserved/hidden:
- Click the VTO Slots tab.
- Find the VTO slot you want to post to the claim board. Click the Post link in that VTO slot’s row.
Post Multiple VTO Slots at Once
To post multiple VTO slots that are currently reserved/hidden:
- Click the VTO Slots tab.
- Find the VTO slots you want to post to the claim board. Check the boxes at the far right of those VTO slots’ rows.
- Click the Post Checked button near the top of the page.
Reserve VTO Slots
You can reserve/hide a single VTO slot or multiple VTO slots are once.
Reserve a Single VTO Slot
To reserve/hide a single VTO slot:
- Click the VTO Slots tab.
- Find the VTO slot you want to reserve and click the Reserve link in that slot’s row.
Reserve Multiple VTO Slots
To reserve/hide multiple VTO slots at once:
- Click the VTO Slots tab.
- Find the VTO slots you want to reserve and check the boxes at the right side of those slots’ rows.
- Click the Reserve Checked button near the top of the page.
Delete VTO Slots
You can delete a single VTO slot or multiple VTO slots at once.
Delete a Single VTO Slot
To delete a single VTO slot:
- Click the VTO Slots tab.
- Find the VTO slot you want to delete and click the Delete link in that VTO Slot’s row.
Delete Multiple VTO Slots at Once
To delete multiple VTO slots at once:
- Click the VTO Slots tab.
- Find the VTO slots you want to delete. Check the boxes at the right of those VTO slots’ rows.
- Click the Delete Checked button near the top of the page.
