As a supervisor you can post open shifts to the Open Shift Bid Board where employees can bid on the shifts to indicate their desire to work them. You can then choose which employee to assign a shift to based on which employees bid and when they submitted their bids.
View Open Shift Bid Board Postings
To view shifts posted to the open shift bid board:
- Click the Open Shift Bid tab.
- The main open shift bid page displays all posts to the open shift bid board.

There are a few actions you can take on this page. The red letter in the image below correspond to the letters of the items in the list below.

a) Remove Checked: To remove multiple posted shifts from the open shift bid board, check the boxes at the far right of those shifts’ rows and click the Remove Checked button.

b) # Bids: This column displays the number of employees that have bid on each shift. When you hover your cursor over the number in the column, RosterApps displays information about which employees bid and when they placed their bids.

c) Assign: Click the Assign link to assign the open shift to an employee. The next section of this user guide covers the assigning process in more detail.

d) Remove: To remove a shift from the open shift bid board, click the Remove link at the far right of the shift’s row.

Assign an Open Shift from the Open Shift Bid Board
To assign an open shift from the open shift bid board:
- Click the Open Shift Bid tab.
- Find the shift you want to assign and click the Assign link in the shift’s row.
- RosterApps directs you to the Assigning Shift page. This page displays all of the employees that could potentially work the shift (employees that are in the shift’s work group or have group trade permissions with the shift’s work group) in a table. Below is a list of the columns of the table with descriptions.
- Employee: The name of the employee.
- Location: The employee’s location.
- Work Group: The employee’s work group.
- Type: The employee’s status—active full-time (AF) or active part-time (AP) for example.
- Seniority Rank: The employee’s seniority rank within their work group.
- OT Bank: The number of overtime hours currently in the employee’s OT bank.
- Shift as OT: If this shift qualifies as over time for the employee, there is a green checkbox in this column.
- Bid OT: If the employee bid on this open shift, there is a green checkbox in this column.
- Bid Date: The time and date that the employee bid on this shift.
- Already OT on Date: If the employee is already working an overtime shift this day, there is a green check mark in this column.
- Already Here: If the employee has a shift overlapping with this shift, that shift’s date, time, break, and skill are in this column.
- Match OT Req: If the employee has requested overtime and this shift matches their overtime request, there is a green check mark in this column.
- OT Req On: The date and time the employee requested overtime for the time period that matches this shift.
- Conflict: If the employee has any conflicts with the shift, the conflicts are listed here.

Find the employee you want to assign the shift to and click the Assign link (if the employee doesn’t have any conflicts with the shift) or Override & Assign (if the employee does have conflicts with the shift).

RosterApps directs you to the Assign Shift page.

Complete the sections on this page. Below is a list of the sections with descriptions.

Send email to all those who bid: This box only appears if employees have bid on this shift. Check this box to send an email to all that bid on this shift notifying them that it has been assigned. The email includes any comments you leave in the field below.

Do Not Add Hours To OT Bank: Check this box to prevent adding any overtime hours from this shift to the employee’s overtime bank. (this option will only appear if the Shift Rule set allows
- Indicate Junior Assignment: Check this box to mark this shift as a junior assignment (this option will only appear if Junior Assignment functionality is enabled in the Shift Rule set)

Comments to send (optional): Enter any comments about this open shift assignment in this field, if you would like. If you elected to send an e-mail to all who bid, this comment appears with that e-mail.

Click the Approve button to assign the shift.
