An open shift refers to a work shift that has not yet been assigned to an employee. These shifts are available for employees to claim or for supervisors to assign based on availability, skills, and other criteria. These are shifts that are not part of a bid line and are usually created in an ad hoc fashion when needed.
To create a new open/unassigned shift:
- Click the Shift Management tab.
- Click the Create New Shift link, located above the table of unassigned shifts on the right-hand side.
-
RosterApps directs you to the Create New Shift page. Complete the sections on this page with information about the new shift. Below is a list of the sections with descriptions:
-
Workgroup: Select the work group the shift belongs to in the drop-down menu.
-
Date: Select the date of the shift with the date selector.
-
Template (Optional): Select a shift template in the drop-down menu, if you want to use a shift template to create this shift. This will auto-fill the Start Time, End Time, and Break Options sections below. This field will only appear if there are templates available for your location.
-
Start Time: Select the shift’s start time with the drop-down selectors.
-
End Time: Select the shift’s end time with the drop-down selectors.
Break Options: Indicate whether the shift has a break. Select one of the following options:
-
No break during shift: Select this option button if the shift has no break.
-
Floating break for: Select this option button if the shift has a break that the employee can take at any time during the shift. Select the length of the break with the drop-down selectors.
-
Fixed break at: Select this option button if the shift has a break that the employee must take at a specific time. Select the time and length of the break with the drop-down selectors.
-
-
Required Skills: Check the box(es) of any skill(s) required to work this shift. RosterApps lists all skills available at this location.
-
Shifts or Slots: Indicate whether RosterApps should create shifts or create slots. Shifts appear as separate lines on the Unassigned Shifts table, and slots appear as multiple slots of the same shift line. For example, if you select Create Shifts and then indicate in the field below that you want to create 3 shifts, RosterApps will create three different shift record lines in the Unassigned Shifts table. If you select Create Slots and then indicate in the field below that you want to create 3 slots, RosterApps will create one shift record line in the Unassigned Shifts table, but that line will have three slots available. After you select one of the option buttons, complete the below fields:
-
Number of shifts/slots to create: Enter the number of shifts or slots RosterApps should create.
-
Number of consecutive days: Enter the number of consecutive days you want this shift/slot to occur. For example, if you enter 5 here, RosterApps will create this shift on the date you selected above and for the next four days. If you only want the shift/slot to occur once, enter 1 in this field.
-
-
Reason for the Overtime: Select an overtime reason from the dropdown (if required)
-
Comment: Enter a comment about the new open shift in this field, if you would like.
-
Allow employee to view comment on calendar: Check this box to allow employees to view your comment (if you made one) on their employee calendar.
-
Click the Create Shift(s) button to create your shift(s).
