You can mark employees as absent for both past and future shifts. However, there are certain situations where you might be unable to mark employees absent for past shifts:
- Earliest Shift Edit Date: The Location Admin may set an Earliest Shift Edit Date, which restricts supervisors from making any changes to shifts before this date.
- Time & Attendance: For customers using the Time & Attendance feature, once a payroll has been processed, all shifts within that payroll period are frozen and cannot be modified by supervisors.
To mark an employee absent:
- Click the Employees tab.
- Find the employee’s name in the list of employees to the left of the calendar. Click on their name to open their employee calendar.
- Find the shift you want to mark absent on their calendar. Click on the shift to open the shift menu.
- Click ‘Mark as Absent’ in the shift menu.
- RosterApps directs you to the Mark Absent page.

Complete the sections of this page with information about the absence. Below is a list of the sections with descriptions.

Reason for the absence: Select the absence reason in the drop-down menu. Your Company Admin establishes this list of absence reasons. If you don’t see an absence reason you are looking for, please consult your Company Admin.

Do you want to cover the shift with overtime?: Indicate whether you want RosterApps to create a covering shift for the absence or not.

Select the Yes option button if you want RosterApps to create a covering shift. RosterApps will add the shift to the Unassigned Shifts list, where you can assign it to another employee, post it to the trade board, or post it to the open shift bid board to make sure that the absence is covered.

Select the No option button if you do not want RosterApps to create a covering shift.

Optional comment to include with absence record: Enter a comment about the absence, if you would like. The comment will appear on the employee’s calendar when you mouse over the shift.

Include comment in email to employee: Check this box to include your comment (if you made one) in the e-mail RosterApps sends to the employee to notify them of the absence.

Allow employee to view comment on calendar: Check this box to allow the employee to view your comment (if you made one) on their employee calendar.

Click the Submit button to submit the absence.
