Depending on the rules in your work group’s shift rule set, you may be required to approve or deny all or some employee shift trade requests. This section covers how to approve or deny trade requests that come to you. If your rule set allows employees to trade shifts without supervisor approval, you may disregard this section.
There are a few different types of shift trades that employees can make. Your approval might be required for some or all of these trades, depending on your rule set. The types of trades are:
- One-way trade: One employee trades a shift to another employee.
- Two-way trade: Two employees exchange shifts.
- Recurring trade: A trade that continues for a certain number of weeks. Both one-way recurring trades and two-way recurring trades are possible.
- Block trade: An employee trades a block of shifts to another employee. For example, an employee might trade all of their shifts for one week to another employee. Both one-way block trades and two-way block trades are possible.
- Posts to the Trade Board: An employee posts a shift that they don’t want to the trade board, where other employees can pick up the shift.
Approve/Deny Shift Trade Requests
Shift trade requests appear on your Home page after both employees engaged in the trade have initiated or accepted the trade. If an employee requests to trade a shift to another employee and the receiving employee denies the request, that trade request will never appear on your Home page.
To view and approve or deny shift trade requests:
- Click the Home tab.
- Scroll down the page until you see the Shift Trades section. This section displays any shift trade requests in a table with information about the request(s). Below is a list of the columns of this table with descriptions:
- Employee: The name of the employee that initiated the trade.
- Trading Shift: The location, work group, date, and time of the shift(s) the employee requested to trade.
- To Employee: The name of the employee receiving the requested trade.
- In Exchange For: If this is a two-way trade request, this column will list the location, work group, date, and time of the shift(s) being exchanged.
- Via: If this is a direct trade between two employees, this column will say Direct Trade. If this is a trade through the trade board, this column will say Trade Board.
- Requested On: The date and time the employee submitted the request.
- Trade Notes:
- Employee Comment: If an employee left a comment when requesting the trade, the comment appears here.
- Click the Select link at the far right of the trade request’s row of the table.
- RosterApps directs you to the Request to Trade page.

Write a comment to the employees about your approval/denial of the trade request in the Comments field, if you would like. RosterApps automatically sends employees an e-mail notifying them about the approval/denial of their trade request. If you leave a comment here, it will appear in that e-mail.

Check the Add Comment to Shift History box to add your comment (if you made one) to the shift’s history.

Approve or deny the trade request with one of the following options:

Click the Approve button to approve the request.

Click the Deny button to deny the request.

Click the Cancel button to neither approve nor deny and to return to the Home page.

RosterApps notifies employees involved in the trade of your approval/denial of the trade request via e-mail and any changes appear on the employees’ calendars.
Approve/Deny Trade Board Posts
When employees request to post a shift to the trade board, the request may appear on your Home page for approval if required by your rule set.
To view and approve or deny trade board post requests:
- Click the Home tab.
- Look for the Posting to Trade Board section. This section displays any trade board post requests in a table with information about the requests. Below is a list of the columns in this table with descriptions.
- Employee: The name of the employee making the request.
- Shift Posting: The location, work group, date, and time of the shift the employee requested to post.
- Requested On: The date and the time the employee submitted the request.
- Comment: If the employee submitted a comment with the request, it appears here.
- Click the Select link in the far right of the trade request’s row of the table.
- RosterApps directs you to the Request to Post to Trade Board page.

Write a comment to the employee about your approval/denial of the request in the Comments field, if you would like. RosterApps automatically sends employees an e-mail notifying them about the approval/denial of their request. If you enter a comment here, it appears in that e-mail.
