Shift templates are templates of standard shifts that you may have at your organization. Creating shift templates gives you the ability to create template based minimum staffing plans, allows you quickly add bid lines when manually creating bid packages, easily assign shifts directly to employee’s calendars, and more.
Viewing Shift Templates
To view shift templates at your location:
- Click the Settings tab.
- Click the Shift Templates link .
- RosterApps directs you to the Shift Templates at Location page. This page displays a table of all shift templates at your location.

There are two checkboxes on this page to note:

When signing up for additional hours only allow templates: If it is allowed in the shift rule set, employees may be able to indicate that they would like to work additional hours. When they go to do so in RosterApps, they indicate whether they are available to work the entire day, a block of time on that day, or a shift template on that day. Check this box to only allow them to indicate that they are available to work certain shift templates.

Hide Inactive Shift Templates: Check this box to only display active shift templates in this table. When creating and editing shift templates, there is a checkbox to indicate whether a shift template is active or inactive.

Adding a Shift Template
To add a new shift template:
- Click the Settings tab.
- Click the Shift Templates link .
- RosterApps directs you to the Shift Templates at Location page. Click the Create New Shift Template link.

RosterApps directs you to the Add Shift Template page. Complete the sections of this page with information about your shift template.

Below is a list of the sections with descriptions:

Template Name: The name of your shift template.

From: Select the shift start time with the drop-down selectors.

To: Select the shift end time with the drop-down selectors.

Break: Indicate whether the shift has a break or not. There are three options:

No break during shift: Select this option button if the shift will not have a break.

Floating break for…: Select this option button if the shift will have a break that the employee could take at any time during the shift. Use the drop-down selectors to select the length of the break.

Fixed break at…: Select this option button if the shift will have a break that the employee must take at a specific time. Use the first set of drop-down selectors to select the time that the employee must take the break. Use the second set of drop-down selectors to select the length of the break.

Required Skills: Check the box(es) of any skill(s) that an employee must have to work this shift. RosterApps lists all of the skills available at your company.

Covering Shift Template: If in the event that a shift using this shift template is marked absent you want the covering shift that is created to use a shift template other than this one, select that shift template from the drop-down menu. For example: Shift Template A is 4:00-8:00am and Shift Template B is 6:00-10:00am. You set Shift Template B as the covering shift template for Shift Template A. Bob is scheduled to work a Shift Template A shift on Friday but calls in on Thursday and says he won’t make it because he is sick. The supervisor marks the shift absent and selects to cover the shift with overtime. The overtime shift that is created will be from 6:00-10:00am, because Shift Template B is the covering shift template.

Available to use when signing up for additional hours: Check this box to make this shift template available to employees to select when they sign up for additional hours, if the shift rule set allows it. When employees sign up for additional hours, they will indicate whether they are available for the entire day, for a block of time, or for specific shift templates. If you check this box, this shift template will be available for employees to select.

Is Active: Check this box to make the shift template active or uncheck it to make the shift template inactive.

- Click the Create Shift Template button to finish adding your shift template (or the Cancel button to cancel).
Editing a Shift Template
To edit a shift template:
- Click the Settings tab.
- Click the Shift Templates link .
- RosterApps directs you to the Shift Templates for Location page. Find the shift template you want to edit in the table of shift templates and click the Edit link in that shift template’s row.
- RosterApps directs you to the Edit Shift Template page. Edit the sections on this page as needed. For a description of all the fields on this page, see the section above, Adding a Shift Template.
- Once you finish making changes, click the Update button (or click the Cancel button to cancel).
Deleting a Shift Template
To delete a shift template:
- Click the Settings tab.
- Click the Shift Templates link .
- RosterApps directs you to the Shift Templates for Location page. Find the shift template you want to delete in the table of shift templates and click the Delete link in that shift template’s row. Note: you will not see the Delete link if the shift template is currently used in a template-based minimum staffing plan.

RosterApps asks if you are sure that you want to delete the shift template. Click the Continue button (or the Cancel button to cancel).

The shift template no longer appears in the table of shift templates.
