Use this function when you have an employee that is parting ways with your organization. Always terminate employees this way, and not by changing the status of the user directly via the Edit Employee Status link.
To terminate a user's employment at your organization:
- Click the Employees tab.
- Find the employee that you want to terminate in the table of employees. Click the blue text link Edit in that employee’s row of the table.
- Click the blue text link Terminate.
- RosterApps directs you to the Terminate page.
-
Select the Date of Termination with the date selector. You can use this for automatic termination on a date in the future, such as when an employee gives a two-week notice and you want to automatically terminate them at the end of their last day. The date you select is important. Many planned future actions in RosterApps occur with the change of calendar date and may not be time-of-day-specific. In the case where you have an employee with their last shift on Friday, you would want to terminate them effective Saturday. RosterApps will then automatically terminate the employee as of 00:00:01 (midnight and one second) first thing Saturday morning.
-
Select the status of the employee upon their departure in the New Status drop-down menu. You may only select an inactive status here, as the employee will no longer be active once you submit the termination. If you do not see a status that you are looking for in the drop-down menu, please consult your Company Admin, as they determine the list of termination statuses at your organization.
- Any potential shift trade issues for the employee being terminated are shown. We strongly recommend that you print this page if it displays any potential issues. You won't be able to access this page again once you submit the termination, so it is helpful to print a hard copy of shifts you may need to address on account of the termination. A Supervisor-level user can address any shift issues after you've submitted the termination.
-
Indicate what RosterApps should do with the departing employee's remaining shifts and/or now-vacated bid line. You have a choice between three option buttons:
-
Select the first option button to cancel all of the employee's remaining shifts, and to make the employee's bid line available on the effective date of termination. RosterApps will delete the shifts on and after the effective date, and the shifts cannot be recovered. If a shift spans two days and starts the day previous to the termination date, that shift will remain in its entirety and won't be affected. Any shift that begins on the termination day and afterward will be deleted. The terminated employee's bid line is now available for another employee. This option is best for situations where you have another employee you can place on the newly-vacated bid line relatively quickly.
-
Select the second option button to cancel all remaining shifts, but to hold the now-vacated bid line as reserved (protected against being filled by another employee). This result is identical to the first option button choice except that the employee's bid line is reserved, meaning that a supervisor cannot assign anyone else to it, and the shifts from the vacant bid line do not show up in reports, totals, or calculations. You can open the bid line at a later time to assign it to another employee. This option is best for situations where the newly-vacated bid line does not need to be filled.
-
Select the third option button to transfer all remaining shifts to the supervisor's Unassigned Shifts list for individual assignment or posting to the Trade Board or the Open Bid Board. This option also reserves the bid line of the departing employee. Please bear in mind that each shift from the vacated bid line for the duration of the bid package will now appear in the supervisor's Unassigned Shifts list. A long bid package may result in a large number of shifts appearing in the Unassigned Shifts list.

-
Click the blue Terminate button to save your actions and terminate the employee or click the blue Cancel button to cancel.
Note: You can undo a termination after you've submitted one by going to the Edit Employee Status page and changing the employee's status to an active one. You could then reassign their bid line to them, if it is still vacant. You could not, however, recover the employee's deleted shifts if you had selected the first or second option button in the termination.
