RosterApps uses rule sets to determine the capabilities of employee-level users and some aspects of supervisor-level users. The settings of the applied rule sets cover most aspects of RosterApps and how the application works for these users. Company Admins create and maintain rule sets. If you have questions about the rule sets at your organization, or don't see a rule set that you believe you should, you may want to consult your Company Admin.
Rule sets were created to be applied at the work group level, since people in the same work group typically follow the same rules and policies. However, RosterApps also has the ability to enforce rule sets at an individual level, as exceptions to the groups’ typical rules and settings.
It is best practice to assign employees to their work group's rule sets, and to edit rule sets at the work group level. This way, if your Company Admin wants to change an aspect of the rule set for a group of employees, they can edit one rule set and that change immediately applies to all employees in the work group(s) using that rule set, as opposed to having to go into each individual employee's record and change the rule set in question. We recommend only setting a specific rule set for an individual under exceptional circumstances, such as disciplinary action.
There are five types of rule sets:
- Shift Rule Set: controls all aspects of shifts, including how and when an Employee-user can trade or claim a shift.
- PTO (Paid Time Off) Rule Set: Controls how and when an Employee-user can request paid time off.
- UTO (Unpaid Time Off) Rule Set: Controls how and when an Employee-user can request unpaid time off.
- VTO (Voluntary Time Off) Slot Rule Set: Controls how and when an Employee-user can claim a Voluntary Time Off slot. Supervisors use VTO slots to offer employees the ability to voluntarily take time off during overstaffed time periods, saving the organization unnecessary labor costs.
- Dependability Rule Set: Controls how and when employees receive infractions and are assigned disciplinary actions.
To edit which rule sets an employee is assigned to:
- Click the Employees tab.
- Find the employee whose rule sets you want to edit in the table of employees. Click the blue text link Edit in that employee’s row of the table.
- Click the blue text link Edit Rule Sets.
- RosterApps directs you to the Edit Rule Sets page. This page has two boxes. The box on the right displays the employee's Rule Set History. You should be able to see all of the individual rule sets that the employee has been assigned during their time at your company. If there is a time period with no specified rule set, the employee was under their work group's rule set at that time. The box on the left lists the types of rule sets, with drop-down menus beside them. The drop-down menus list all the available rule sets for your location.

Choose the date that you would like your changes to become effective with the Effective date selector.

For each rule set type, select the rule set from the drop-down menu that you would like to apply to the employee. To use the work group's rule set, choose (none – use work group rule).

Click the blue Update button at the bottom of the page to save your changes. Once you do so, you will see your change(s) as a new entry in the Rule Set History box (if you selected a rule set other than the work group rule set). This new entry will have a start date, but no end date until you apply a different rule set (of the same rule set type) to the employee.
