Use this page to view and adjust paid time off (PTO) accrual account balances. The Company Admin establishes accrual accounts—if you do not see one that you are looking for, consult your Company Admin.
The first table on this page displays the employee's current balances (in hours) for the listed PTO accrual accounts.
The Past PTO Activity table displays any approved PTO that the employee has taken in the past. This can show awarded vacation as well if looking at a future as of date.
The Future Approved PTO Activity table lists any approved PTO that the employee has in the future.
The Awards table displays any PTO weeks that the employee has been awarded in a Vacation Bid, but only those weeks which fall after the current bid package. If the employee has been awarded PTO weeks that fall within the current bid package, they will appear in the 'Future Approved PTO Activity' table.
To edit an employee's PTO bank:
- Click the Employees tab.
- Find the employee whose PTO bank you want to edit in the table of employees. Click the blue text link Edit in that employee’s row of the table.
- Click the blue text link Edit Paid Time Off Bank.

Select the calendar date you want the PTO adjustment to become effective with the Adjustment Date selector.

Select the PTO accrual account you want to edit in the Accrual Account drop-down menu.

Enter the number of hours by which you would like to adjust the selected accrual account in the Amount field. Select the Increase option button to add that number of hours to the accrual account, or the Decrease option button to subtract that number of hours from the accrual account. For example, to add 10 hours to an employee's VAC account, I would put 10.00 in the Amount field and select the Increase button.

Add notes about the PTO Bank adjustment in the Comment field if you would like. These notes appear in the Approved PTO Report, which you can run as a Location Admin.

Once you finish making changes, do one of the following:

Click the Apply & Refresh button to submit your changes and view them on this same page.

Click the Apply & Return button to submit your changes and return to the Edit Employee page.

Click the Cancel button to cancel your edits.
