Work groups are the basic organizational structure of employees in RosterApps. Work groups are groups of employees that bid against each other for bid lines.
Add a New Work Group
To add a new work group at your location:
- Click the Work Groups tab.
- Click the blue text link Create New Work Group, directly above the table of work group on the right-hand side.

RosterApps directs you to the New Work Group page. This page contains fields for you to complete about the new work group. Once you create your work group, you can edit it at any time. Below is a list of these fields with descriptions:

Name: The name of the work group, which must be unique at your location. If the work group has a long name, you may want to put an abbreviated version of the name in this field and the full name in the Description field.

Description: A brief description of the new work group.

Lead Job Title: Select the lead job title for this work group, if applicable. If there is none, select the "(none)" option.

Seniority Rule: Select the seniority rule that will determine seniority amongst employees in the work group in the drop-down menu. The drop-down menu displays all seniority rules available at your location. These may include:

Adjusted Work Group Assigned Date: The date the employee was assigned to their current work group, with any adjustments. Adjustments are sometimes made for circumstances such as if an employee is re-assigned to a work group they were assigned to in the past.

Company Adjusted Hire Date: The company hire date, with any adjustments. Adjustments are sometimes made for circumstances such as if an employee is hired in a different location or was re-hired after previously working at the company.

Company Hire Date: The date the employee was hired at the company.

Job Title Date: The date the employee was given their current job title.

Overtime Bank Ascending: Seniority determined by hours in the OT bank, with the most senior employee being the one with the least hours in their OT bank.

Overtime Bank Descending: Seniority determined by hours in the OT bank, with the most senior employee being the one with the most hours in their OT bank.

Override Seniority Order: You can use this seniority rule to establish a custom seniority order. You would assign a different number value in the Override Seniority field of each employee’s profile, and the employees would be ranked in numerical order based on this.

Work Group Assigned Date: The date the employee was assigned to their current work group.

Classification Date: This date is typically the date the employee started in their current position, but can be set to whatever date you want to determine seniority.

Shift Rule Set: Select the default shift rule set for employees in this work group with the drop-down menu.

PTO Rule Set: Select the default PTO rule set for employees in this work group with the drop-down menu.

UTO Rule Set: Select the default UTO rule set for employees in this work group with the drop-down menu.

VTO Slot Rule Set: Select the default VTO slot rule set for employees in this work group with the drop-down menu.

Dependability Rule Set: Select the default dependability rule set for employees in this work group with the drop-down menu.

Vacation Bid Group: Select which Vacation Bid Group employees in the work group will belong to with the drop-down menu. Vacation Bid Groups can contain multiple work groups. The seniority rule for a Vacation Bid Group can differ from the seniority rule(s) of the work group(s) it contains. Note that this option is not available when using Enhanced Vacation Bidding.

Integrate with Time and Attendance: Check this box to integrate this work group in RosterApps with your Time and Attendance system. This only works if your company has already worked with the RosterApps engineering team to integrate your company’s Time and Attendance system with RosterApps.

Active: Check this box to make this an active work group. When you create a new work group this box is checked and greyed out so that you cannot make it inactive. You can make it inactive later after you create the work group.
- Click the blue Add button to create your new work group or click the blue Cancel button to cancel.

Edit a Work Group
To edit a work group at your location:
- Click the Work Groups tab.
- Find the work group that you want to edit in the table of work groups. Click the blue text link Edit in that work group’s row of the table.
- RosterApps directs you to the Edit Work Group page. There are two tables on this page. The table on the right is the Rule Set History table, which displays all of the rule sets that have been assigned to the work group, and the start and end dates they were assigned. The table on the left is the Edit Work Group Settings table. This table includes fields with information about the work group that you can edit. Some of these fields have date selectors—for these fields, use the date selector to choose the date that you want the change to that setting to become effective. See the above section, Add a Work Group, for the full list of fields as well as a description of each.
- Click the blue Update button to save your changes or click the blue Cancel button to cancel.
