Supervisors use overtime reasons when they assign overtime shifts to employees. If you turned on the Supervisor Must Assign Reason for Overtime and/or the Supervisor Must Assign Overtime Reason to Shifts Added to Calendar rule(s), supervisors will be required to choose an overtime reason when doing so.
To add an overtime reason
To add an overtime reason:
- Click on the Settings tab.
- Click the blue text link Edit Overtime Reasons.
- RosterApps directs you to the Overtime Reasons page. This page includes a table that displays all overtime reasons at your company.
- Click the blue text link Create New Overtime Reason.
- RosterApps directs you to the New Overtime Reason page.
- Complete the fields on this page with information about your new overtime reason. Below is a list of the fields on this page with descriptions:
- Code: The name RosterApps will use for this overtime reason in RosterApps.
- Description: A brief description of the overtime reason.
- Default Paid Time Off Coverage Reason: Check this box to make this overtime reason the first listed in the drop-down menu of overtime reasons when overtime is created for PTO coverage.
- Default Absent Coverage Reason: Check this box to make this overtime reason the first listed in the drop-down menu of overtime reasons when overtime is created to cover an absence.
- Default Open Bid Line Coverage Reason: Check this box to make this overtime reason the first listed in the drop-down menu of overtime reasons when overtime is created to cover an open bid line.
- Comment Required: Check this box to require users to leave a comment when using this overtime reason.
- Display Order: The order that you want this overtime reason to be displayed in overtime drop-down menus in RosterApps. For example, if you enter a 2 in this field RosterApps will list this overtime reason second in drop-down menus when users go to select an overtime reason.
- Active: Check this box to make the overtime reason active or uncheck the box to make the overtime reason inactive.
- Available To Employee: Check this box to make this reason available to employees.
- Employee's No Meal Break Request Reason: Check this box to make this reason available to employees when they indicate a meal break was not taken on their timecard (only for customers using time and attendance).
- Click the blue Add button to add the overtime reason or click the Cancel button to cancel.
To edit an overtime reason:
- Click on the Settings tab.
- Click on the blue text link Edit Overtime Reasons.
- RosterApps directs you to the Overtime Reasons page. This page includes a table that displays all overtime reasons at your company.
- Find the overtime reason that you would like to edit in the table and click the blue text link Edit.
- RosterApps directs you to the Edit Overtime Reason page.
- Edit any of the fields on this page as needed. See the To add an Overtime Reason section above for a full list of descriptions for each of the fields.
- Click the blue Update button to save your changes or click the blue Cancel button to cancel.
