This feature is not used by all companies. ARCOS provides you with the ability to notify a supervisor via e-mail if you notice a problem with the user-entered schedule data on any of the Schedule Day view pages. For some customers, administrative responsibility for employee records is shared by several individuals. The ARCOS user who monitors employee schedule records may not be authorized to modify those records. Audit Alert E-mail functionality was developed to provide a means for an ARCOS user who notices some abnormality in an employee schedule to alert another ARCOS user who is authorized to fix the problem.
The button, called Audit, is located in the Tools section of the Schedule page. Supervisors can subscribe to receive e-mails that use the template called SchedAudit. The e-mail contains information including the name and employee ID of the employee in question, an audit ID, date, and time, a problem description, supervisor name, and OpCenter where the employee is located. The instructions that follow provide the steps to select an employee for which to send an Audit Alert E-mail.
To Create a Schedule Audit Alert
-
Go to the 14-Day, the 7-Day, or the 1-Day Schedule view. The selected view displays.
-
Click the Audit button located on the Tools bar at the top of the page. The employee names are grayed out and ARCOS directs you to click on an employee cell.
-
Click to select the employee about which you wish to send the Audit e-mail. ARCOS asks if you wish to continue.
-
Click OK to continue. A dialog box displays that allows you to enter a description of the problem. ARCOS pre-populates the dialog box with the date of the record.
-
Enter the desired text in the dialog box.
-
Click OK. ARCOS displays a message, assigning an Audit ID and indicating the inquiry has successfully been saved.
-
Click OK to close the dialog box and return to the Schedule page. All employees who are subscribed to Audit e-mail will receive an e-mail about the record in question.
Note: See the Audit Report in the Reports section for information on accessing and using the Audit Report.
