The Employee tab provides access to all employee related functions in ARCOS. Below are images of items that are found on the Employee Add, Employee Modify, and Employee View pages. Hover over any of the fields and when your mouse pointer turns into a pointing finger, click that link for further information about the field.
Caution! Once you click the arrow to the right of the any dropdown field, the field turns dark blue, indicating it is the active field on the screen. Once you make a selection in that field, you must click on another area of the screen to deactivate that field. This behavior is true in any MS Windows field that contains a dropdown menu. If you leave the field active and use a wheel mouse, each time you scroll with the wheel, you will change the selection in the field.

Employee ID |
The Employee ID field is used with the Business Continuity module in conjunction with RoD web service updates. RoDStands for Resources on Demand which is a third-party application from MacroSoft™ that provides web-enabled emergency resource management for utility companies. RoD manages resource requests, tracks personnel movements, and supports logistics during a large-scale restoration event.

VRU ID |
A unique code assigned to each employee. Must be all numeric, between 4 and 9 digits. Used by the employee in combination with a VRU PIN to access the Inbound VRU system. This is a required field. |
Web ID |
A unique identification assigned to each employee. Can be letters and/or numbers. Used by an authorized employee in combination with a Web password to access the ARCOS system. This is a required field.
Note: When logging in the Web ID field is case sensitive. |
Employee Name Section

First Name |
Employee's first name. This is a required field. |
Last Name |
Employee's last name. This is a required field. Note: If you save a mixed case last name (such as MacKenzie) as all capital letters or all lower case letters, ARCOS will change the casing of the name once the record is saved. |
Middle Initial |
Employee's middle initial. |
Nickname |
A name by which an employee is more commonly known than the First Name. ARCOS displays the nickname in parentheses, for example, John B. Smith (Skip) in all reports. |
Employee Address Section

Description |
Many companies that use addresses have the Google Map functionality to go with it. The combination of the Address and Google Map functionality is used for employees who will be called on Closest-to-Trouble callouts. However, some customers have just the address fields with out the Google Map. If the Google Map is not present then your company currently does not have the Closest-to-Trouble functionality. |

Addl Travel Miles |
This a textbox that is used to enter a number of miles an employee must travel to get to his vehicle. The number of miles entered here is automatically added to the employee's distance from the trouble location when called for Closest-to-Trouble callouts. |
Employee Information

Adj Hours |
Used to hold an employee's adjusted hours instead of allowing a different adjusted hours value to appear on every roster the employee is on. This centralizes the handling of adjusted hours and ensures that the single correct value is used for the employee on every roster.
Note: If a roster has no paycodes selected in the Roster Admin Paycodes section for the selected roster, sorting will ignore OT hours, resulting in a seniority sort. In addition, Roster Maint will not display the OT Hours or Adj Hours columns and the Roster View will not display the Hrs column. |
ARM Initial |
The initials that the employee uses in the company's ARM system. |
ARM User: Linked |
Checkbox to link the ARCOS employee to their counterpart record in the ARM system. SyncPerson message received when modifying an employee who is linked to ARM. SyncSchedule message is received when any schedule record for a linked employee is added, updated, or deleted. |
ARM User: Sync Now |
Checkbox to sync the ARCOS employee to the ARM system. This triggers not only an immediate SyncPerson message, but also SyncSchedule messages for all of the employee's current and future schedule records. Employee must be linked to ARM and have ARM Initials before you can manually sync the employee using this checkbox. |
Auto-Calculate |
ADJ Hours = Average OT Hours for all employees on a roster. Use this box to automatically add or subtract adjusted hours to an employee when his Primary Class changes. The employee hours will be adjusted to equal the average of all employees in that primary class, putting the employee in the middle of the list. |
Availability Comments |
A free-form text field. The contents of this field display in the Manual Bypass and List Maintenance screens. The contents of this field are not connected to any functionality in ARCOS and are for informational purposes only. |
Birth Date |
Employee's birth date. This date is also used as a tiebreaker when employees have the same OT hours and Seniority Date on a list. |
Classification |
A Primary Class is an employee's job title or skill associated with a roster. An employee can have only one primary job classification; however, he can be on rosters for other job classifications as well as other workgroups. ARCOS automatically configures rosters for each defined Job Classification. |
Crew |
This is an optional field that not all companies use. It contains a list of available crews from which to select. The Crew dropdown list defaults to the crews in the employee's home location, but you can switch to a different location by clicking the Loc Filter button to the right of the dropdown arrow. Crews are defined on the Sys Admin tab under Crew Maintenance. |
Crew Leader |
Selecting this checkbox identifies the employee as a Crew Leader. Crew Leaders are identified with an asterisk (*) beside the Crew Type on the 1 Day Schedule Record View. |
Curr Assign Date |
A calendar icon that allows you to select the date that an employee changes rosters or locations. This field controls the reporting and the associated Data for Current Assignment Only checkbox found on the reports generator pages. The date represents the last time the employee's location or primary class was changed and the OT hours were used to make that employee the max person on the list. ARCOS automatically calculates the maximum overtime hours accumulated for the other employees on the roster to which this employee is being transferred and applies an Assumed Hours record to the employee being transferred such that he has the highest hours total on the roster (Max + .1). When you view a report for an employee who has been transferred from one location or primary class to another, the data for the past assignment is grayed out and the data for the current assignment is bold.
Note: This field is automatically populated when an employee is transferred. Do not change this date unless you are correcting a transfer date problem. |
Employee Type |
A dropdown that allows the user to determine if the contact will be a regular ARCOS user, Limited Use user, or a Notify Only contact.

Employee Release Callback |
A checkbox used to flag an employee to be called by ARCOS after working an exception for X hours. When the employee is called, they will be asked if they wish to release themselves or wish to remain on their schedule record. |
Gender |
Drop down to identify employee's gender. This is an optional field, not all companies have this field. |
Location |
Drop down list that contains the level 4 locations for the company. When creating a new employee, the location defaults to the user's current location and cannot be changed until after the employee is saved/created. This is a required field. |
Location Access |
Groups configured to allow employees access to certain locations in ARCOS. For example, some groups are configured to allow access to Locations only within the dispatcher/operator's own Level 2, 3, or 4 Location. |
New Employee |
Provides the ability to designate employees as "New" in ARCOS and have rules built for specific callout types that would limit the number of accepts allowed for new employees. ARCOS considers employees with this checkbox selected as Inexperienced. |
No CDL? |
The No CDL is used to flag employees who do not have their Commercial Driver's License. When the No CDL attribute is enabled for an employee, ARCOS will not call them for a callout that has the CDL Required attribute enabled. |
Notify Only |
For use with the SIREN module. Checkbox to identify the employee as able to receive Notifications only, not able to receive regular callout calls. This is an optional field, not all companies have this field. Only employees assigned to company-selected security groups with this security feature enabled have the ability to select (check) or deselect (uncheck) the Notify Only checkbox. Note: Contacts flagged as Notify Only cannot call the inbound system. If a Notify Only contact tries to call the inbound system they will be told their ID or PIN are incorrect. |
Pay Type |
Drop down to identify employee pay type as Hourly or Salaried. This is an optional field and not all companies use this field.
Note: Some companies use the Pay Type to determine the number of active devices an employee can have. |
Radio |
Optional type of company radio the employee carries. This is a free-form field. No dropdown list exists for this category. |
Reset Password |
Checkbox on the Employee Administration - Modify screen that allows you to reset the employee's Web Password to the default value of Welcome. |
Reset PIN |
Checkbox on the Employee Administration - Modify screen that allows you to reset the employee's VRU PIN to the default value of 1234. |
RoD Work Location |
A dropdown list of all of the customer-supplied locations that employees will report to during a Major Event
(in RoD). This field ties to the RoD Work Location column on the Assign Major Event page under the List Maintenance tab. Not all companies use this feature.

Sched Alert? |
This feature is not used by all companies. If checked the Sched Alert? checkbox is checked, then schedule changes to the employee's schedule record will be available for Schedule Alert e-mails. |
Security Group |
By default, employees are assigned to the security group Level 0, which does not allow web access. Different security groups are available in the dropdown menu. This is a required field.
The background of this field is yellow if the assigned Security Group selected for the employee is an admin-level group, meaning they have at least access to add or modify security groups.
If a user does not have admin-level access, then the user cannot assign admin-level access to any users. |
Seniority Date |
The date designated by the company as the employee's seniority date. If a roster's call order is determined by seniority, either as the primary sort or tie-breaker, ARCOS uses this date. This is a required field. |
Service Date |
The date which the employee came into service. |
Shirt Size |
Drop down to provide the employee's shirt size. This is an optional field and not all companies use this field. |
Skips |
This feature is not used by all companies. This field allows you to adjust an employee's Skips total. See Skips Rule in the Callout Rules section for more information on this rule and how it is used. |
Status |
An employee's status can be set to either Active, Inactive, or Deleted. See below for details on each.
Note: Inactive employees are still billable employees within ARCOS. Note: When an employee is moved to Inactive status they will automatically be unsubscribed from e-mail alerts and any batched reports they are subscribed to.

Supervisor |
A strict Report To hierarchy is enforced with this feature. A supervisor is not eligible to be selected from the Reports To dropdown on the employee page if he is already subordinate to that employee in the Report To chain of command hierarchy, either as an immediate report or as a report that is supervised by the immediate report, etc.
You cannot uncheck the supervisor checkbox if that employee still has direct reports defined under his supervision.
The location picker for the Report To section on the employee page will default to the location of the current supervisor if the employee has one identified; if the employee does not yet have a supervisor identified in the Report To dropdown, the location picker will default to the location of the employee. |
Vehicle |
Type of company vehicle used by the employee. Can be configured one of three ways:
Note: The vehicle is a vital part to Matched Crew Calling and Crew in the Barrel callout rules. |
Work Loc |
This is a free-form text field that allows details about the employee's work location to be entered by supervisors. The Schedule Record Comment field will also be automatically updated with this information when a new record is created. |

Extended Employee Attributes |
Extended Employee Attributes are used to specify additional attributes for the employee during business continuity situations. Extended Employee Attributes are used to build unique rosters to be used business continuity and storm situations. |
Roster Assignments |
Displays all Workgroup lists for the employee is assigned to. |
Schedule Employee Modifications |
Scheduled Employee Modifications gives administrators the ability to schedule when an employee will move to a different location, change classifications, or both. |
